FORWARDING EMAIL ETIQUETTE
Many people get a good joke or some other interesting thing by email
and forward it on to a list of friends.
This, in itself, is fine, BUT ..... PLEASE THINK A MINUTE BEFORE
CLICKING THE SEND BUTTON!! Spammers are on the look out for your emails
that contain lots of email addresses!! Also, lots of forwarded emails
are HOAXES!
DOs and DON'Ts of email etiquette:-
- Please DO NOT put a list of recipients' email
addresses in the "To:" or the "Cc:" fields! These types of emails tend
to get spread all around the world and all these email addresses often
go with them. Spammers love this - a great place to harvest email
addresses!!. (Click here for when it is OK to use the "Cc:" field.)
If the originator puts 10 email addresses in
the "To:" or "Cc:" fields, it only takes the email to be sent on
another 5 times, each forwarder sending it to another 10 people, before
the email has been received by 1,000,000 people world wide!!!
Do the right thing by your friends! Use the
Bcc: field instead. Click here for details on how to do this.
- Please
DO NOT send out the forwarded emails without editing the text! How
often do you see a long list of headers from all the previous
forwarders! These headers will often have email addresses in them which
should be deleted!
You can edit an email that you are forwarding in just the same way as a
new email. Just highlight all the superfluous text and hit the delete
key!
- Don't be made to look a fool and have someone
tell you the email you have forwarded is a HOAX! Many of the "warning"
or "sob story" emails doing the rounds are hoaxes! Make sure before you
forward it on. Just go to one or more of the sites listed below and
enter a couple of key words from the email into their search boxes -
you will be told if it is a hoax or real.
Break The Chain
Hoax Slayer
Snopes
Sophos
Truth or Fiction
- If someone asks you not to send them these
types of emails then please honour their wishes. Some of these emails
are rather large and take up a lot of download capacity. If someone is
on a limited download plan these these emails can soon eat up a lot of
their allowance!!!
Using the BCC field in email composition
For Outlook Express (Windows XP)
and Windows Mail (Vista)
When you select "Create Mail" (to compose a new email) or click on
"Reply" or "Forward" (in an existing email) you will see something like
this in the compose window:-

If the Bcc: field is NOT showing between the "Cc:" and "Subject:"
fields then go to the "View" menu and select "All Headers" as shown in
the following image:-

For Windows Live Mail
When you select "New" (to compose a new email) or click on
"Reply" or "Forward" (in an existing email) you will see something like
this in the compose window:-

If the Cc: and Bcc: fields are NOT showing between the "To:" and "Subject:"
fields then go to the "View" menu and select
"Cc and Bcc" as shown in
the following image:-

You only have to do this once. From now on the extra fields should
always be visible.
Now put all the email addresses in the "Bcc:" field.
When is it OK to use the "Cc:" Field?
If you are sending an email to a small group of people where it is
important that recipients know who else is receiving the email, AND you
know there is no chance of the email being forwarded to recipients unkown to you, then it is OK to use the "Cc:" field.
